LYNNEWOOD LOG CABINS LIMITED

TERMS AND CONDITIONS

Contract of Hire

By making a booking, paying a deposit, or paying the full amount, you confirm your acceptance of these terms and conditions and accept responsibility for the actions of your guests. The Contract of Hire only becomes effective once Lynnewood Log Cabins Limited sends written confirmation of the booking by email to you, the Hirer. Bookings will not be accepted from anyone under 18 years of age. Groups aged 25 or younger must provide photo identification (such as a driver’s licence or passport) at check-in, which will be returned at check-out. The Hirer may not assign or transfer the Contract of Hire to another person without written consent from Lynnewood Log Cabins Limited. The contract grants the Hirer and guests a licence to stay at the property for the specified period; there is no right to remain after the period ends, nor any entitlement to security of tenure.

Payments

Initial Payment

Bookings are confirmed only on receipt of a £100.00 non-refundable deposit. If the booking is made within four weeks of the holiday start date, full payment is required for confirmation.

Balance Payment

The remaining balance is due four weeks before the holiday commences. If full cleared payment is not received by this time, the hire may be cancelled. Deposits and booking fees are non-refundable.

Security Deposit

A refundable security, breakage, or conduct bond of £60 is required for each rental period. The Hirer must provide debit or credit card details at booking. Deductions from the bond may be made for excess cleaning, rubbish removal, property or contents damage, or if staff or police are called to address a disturbance. If total charges exceed the security deposit, the balance is payable immediately. The security bond, less any deductions, will be refunded within seven days of departure, following inspection by cleaners.

Arrival and Departure

Check-in time is from 15:00, and check-out is by 10:00.

Damage and Breakages

The Hirer is legally responsible for all damages and breakages during the hire period and must notify Lynnewood Log Cabins Limited before the end of the stay. Costs will be charged to the security bond. Any damage found at the end of the period is considered to have occurred during the stay unless reported on arrival. The person making the booking is liable for the conduct of themselves and their guests, including all damage, loss, or nuisance caused.

Confirmation and Amendments

Once a Confirmation of Booking/Invoice is issued, the Hirer is responsible for the total hire price and any extras listed. Amendments to bookings only take effect when accepted in writing by Lynnewood Log Cabins Limited and any additional costs are paid.

Cancellation and Refund Policy

If the Hirer cancels more than four weeks before the start date, the deposit is non-refundable, but any balance paid is refunded. All deposits are non-refundable. If cancellation occurs within four weeks of the start date, the Hirer remains liable for the full hire cost.

Insurance

It is strongly recommended that Hirers arrange holiday insurance to cover cancellations, personal injury, and personal property.

Party Numbers and Suitability

Occupancy must not exceed the maximum permitted (e.g., four in a two-bedroom, six in a three-bedroom property) unless authorised in writing. Lynnewood Log Cabins Limited and the owner may refuse admission or cancel the booking if unauthorised guests are present or the party is deemed unsuitable. In such cases, a pro-rata refund, less a £50 service charge and any damages, will be made. No other compensation is payable. The Hirer must promptly notify changes in guest numbers or details.

Hirer’s Responsibilities

The Hirer is responsible for the property’s care and must comply with the following:

· Cleaning: Leave the property clean and tidy, with equipment and utensils cleaned and put away. Extra cleaning costs will be charged to the security deposit.

· BBQ Equipment: BBQs are not permitted near the home but may be used in the designated area by reception.

· Bins & Recycling: Remove all waste to the general and recycling bins by reception.

· Environmental Considerations: At departure, turn off all lights, appliances, and set thermostats to economical levels.

· Smoking: Smoking is not allowed in any property.

· Pets: Only permitted if specified at booking and stated in the property details.

Use of Accommodation and Amenities

Lynnewood Log Cabins Limited or the owner may repossess the property and end the hire if the Hirer or their guests cause excessive noise, damage, act illegally, offensively, or cause nuisance. No refund will be given in such cases. The owner or Lynnewood Log Cabins Limited may access the property at reasonable times for inspection or maintenance and retain keys for this purpose.

Availability

The contract assumes the property will be available and suitable for the booked dates. If not, due to circumstances beyond the control of Lynnewood Log Cabins Limited or the owner, the booking may be cancelled or changed. An alternative may be offered or a pro-rata refund given. No liability is accepted for other costs or losses.

Booking Variations

Any variation to the booking will incur a £50 service charge.

Advertised Facilities

Advertised items, equipment, and facilities may not always be available due to breakdown or other reasons. Management will address malfunctions as soon as possible, but no refunds will be made.

Services Provided

Rental charges include bed linen and towels for use during your stay. Beds are made up for arrival, and linens/towels are changed at the end of each rental. Additional services are available at extra cost. Electricity, LPG, and water are included in the rental.

Care of Property, Fixtures, and Fittings

Guests must take proper care of the property, furniture, fittings, and effects, leaving them clean and in good repair at departure. Candles or ignition sources are not permitted inside or on balconies. Use all equipment only as intended. Do not bring potentially dangerous items into the log cabins. Bulky items such as bicycles and sports equipment are not allowed inside.

Breakages, Damage, or Missing Items

The client or guest is legally obliged to reimburse Lynnewood Log Cabins Limited for any breakages, damage, missing items, or excessive cleaning costs caused during the rental period.

Children

Children must be supervised at all times, especially when using the swim spa, hot tub, or near the lake.

Visitors

Only notified persons may occupy the accommodation. If you have visitors during your stay, inform management. You are responsible for their behaviour. Visitors may not stay overnight.

Parking

Vehicles must be parked in designated spaces and not block roadways or park on grass. Vehicles and contents are left at your own risk. Lynnewood Log Cabins Limited is not responsible for any loss or damage. Routine vehicle repairs are not permitted on site.

Left Property

Returned lost property will incur a minimum charge of £10. Unclaimed items are kept for one month, after which they are donated to charity. Responsibility for property remains with the owner at all times.

Liability

Lynnewood Log Cabins Limited is not liable for any damage, expense, injury, death, or loss except where caused by proven negligence by themselves or their employees. Guests must safeguard personal property; Lynnewood Log Cabins Limited does not accept liability for loss or damage to personal belongings.

Force Majeure

Lynnewood Log Cabins Limited cannot accept responsibility or provide compensation for events beyond their control (force majeure), including but not limited to fire, flood, explosion, storm, criminal damage, riots, war, terrorist activity, or similar events.

Hot Tubs

Hot tub use is at your own risk. Lynnewood Log Cabins Limited accepts no liability for illness or injury related to hot tub use. The hot tub may not reach full temperature on arrival if the water has been changed, especially in cold months; no refund will be given in these circumstances. Avoid pressing multiple buttons in quick succession to prevent the tub entering sleep mode. The person signing for the hot tub must ensure all guests comply with the guidelines.

· Prevent unauthorised access by children; keep the cover on when not attended by an adult. Under-16s are not permitted in the hot tub.

· Surfaces may be slippery; use caution entering and exiting.

· Do not remove the operating panel, jump in, or use if you have infectious diseases.

· Keep loose clothing and jewellery away from moving parts; do not stand or sit on the cover.

· Avoid drugs, alcohol, and certain medications before or during use. Consult a doctor if you are pregnant or have relevant health conditions.

· Limit use to 20 minutes to prevent hyperthermia; extended chlorine exposure may cause skin irritation.

· Do not use immediately after strenuous exercise; test water temperature before entering.

· Shower before use to avoid contaminating water. Use cover handles, not straps, to move the cover.

· Do not open the electrical box; glassware, pets, detergents, and soaps are not allowed. Do not drink the water.

· Do not fall asleep in the hot tub; treat the tub with care, as any damage is chargeable. Insurance cover is required for all users before use.

· The lodge owner, Felmoor Leisure, and Lynnewood Log Cabins Limited are not responsible for injury or death related to hot tub use. Liability is limited to the cost of hot tub rental; no liability is accepted for other costs.

· Tubs and filters are cleaned and disinfected after each client. Chlorine may discolour the water; this is harmless. No refunds are given for perceived cleanliness or if the tub is put into sleep or economy mode.

Privacy

Your privacy is important. Your details are kept securely in our database for updates and offers. We do not share information with third parties except as required by law.

Site Rules

All occupiers and guests must comply with Site Rules.

Complaints

Lynnewood Log Cabins Limited aims to ensure your satisfaction. Any complaints during your stay must be reported promptly to management and, for serious issues, confirmed in writing within 24 hours of departure. The owner must be given 24 hours to address reasonable requests, such as maintenance issues.

Right to Amend Terms and Conditions

Lynnewood Log Cabins Limited reserves the right to amend these terms and conditions at any time. The agreement/booking may be terminated without refund if guest behaviour is unacceptable, site rules are breached, or occupancy exceeds the stated limit.

Hot Tub Hire – Disclaimer and Guidelines

Important Health & Safety Information

The hot tub is intended to provide a pleasurable and relaxing experience for guests. However, for your safety and enjoyment, it is essential that all rules and guidelines are strictly followed. These requirements are in place for legal health and safety reasons, especially when hot tubs are used in a commercial environment.

Hot Tub Temperature and Maintenance

Please be aware that the hot tub may not reach its operating temperature immediately upon your arrival, particularly if the water has been recently changed. This process can take up to eight hours, especially during winter months. No refunds will be issued due to delayed heating.

Do not press multiple buttons simultaneously or in rapid succession, as this may cause the hot tub to enter sleep mode and cool down. If the control panel displays “SL” (which may appear as “75” from inside the tub) or “EC”, please notify a member of staff promptly for assistance with resetting.

Responsibilities of the Signatory

The person signing the agreement is responsible for ensuring all members of their party and guests are aware of, and adhere to, these guidelines.

Guidelines for Children’s Safety

Exercise extreme caution to prevent unauthorised access to the hot tub by underage children. The hot tub cover must remain closed unless a responsible adult is present. Children under the age of 16 are not permitted in the hot tub, as they are unable to regulate their body temperature adequately.

General Safety Precautions

· Wet surfaces around the tub can be very slippery. Take care when entering and exiting the hot tub.

· Do not remove the operating panel or attempt to open the electrical box.

· Do not jump into the hot tub or stand/sit on the cover.

· Keep all loose clothing and hanging jewellery away from jets and moving parts.

· Do not use glassware in or around the hot tub.

· Do not allow any pets in the hot tub.

· Do not use detergents, soaps, shampoos, or bubble bath in the hot tub.

· Never drink the water or allow anyone to sleep in the hot tub.

· Use only the handles to remove or replace the vinyl cover; do not drag it by the straps.

Health-Related Warnings

· People with infectious diseases must not use the hot tub.

· Avoid the hot tub if taking medication that causes drowsiness, or if you are under the influence of drugs, alcohol, or medication that affects heart rate, blood pressure, or circulation. Consult a doctor if unsure.

· Pregnant women, those with obesity, heart disease, blood pressure concerns, circulatory issues, or diabetes should consult their doctor before use.

· Prolonged immersion (over 20 minutes) can cause hypothermia, burns, or skin irritation. Do not exceed this time limit.

· Do not use the hot tub immediately after vigorous exercise.

· Test the water temperature with your hand before entering to ensure it is comfortable.

Hygiene Standards

· Always shower before and after using the hot tub. Perfumes, hair products, and fake tan can contaminate the water and may incur cleaning charges.

· Replace the cover when not in use, whether the tub is full or empty, to retain heat and maintain cleanliness.

Capacity and Usage

· The hot tub seats a maximum of four people, regardless of the property’s occupancy. Exceeding this number or adding water will result in a long reheating period (up to eight hours).

· Do not submerge your head under the water.

· When not in use, always keep the cover on; otherwise, the water will cool down.

Noise and Consideration for Others

Please be considerate of other guests. Avoid excessive noise and do not use the hot tub after 23:00.

Chlorine and Maintenance

The floating device in the hot tub contains chlorine tablets. Do not remove the float or the chlorine tablets, as direct contact with chlorine can cause burns. The water may become discoloured due to chlorine; this is normal and harmless. No refunds will be given for water clarity or if the hot tub enters sleep or economy mode.

All tubs and filters are thoroughly cleaned and disinfected after each client to ensure a fresh and clean experience for every guest.

Departure and Assistance

Hot tubs may be emptied any time from 08:00 on the day of your departure. If you experience any problems, please contact Shelbie Jeffery, whose contact details are available in your cabin.

Liability and Insurance

· Any damage to the hot tub or cover will be charged to the responsible party.

· All users must have their own insurance cover, and liability insurance for the hire period is recommended.

· Lodge Owner, Felmoor Leisure, Lynnewood Log Cabins Limited accept no responsibility for injury or death in connection with hot tub use. Liability is limited to the amount paid for hot tub hire; no further costs (e.g., for the lodge or cabin) will be covered.

Acceptance of Terms

By making a booking or paying a deposit, you agree to these terms and conditions. By using the hot tub and the property, you accept total responsibility for the hot tub and all users. Guests use the hot tub at their own risk and are fully responsible for any accidents that occur during their stay.
